Who is responsible for your data?

I am Marie-Leone Sibler, a sole trader trading as utaupia, at 30 chemin du Eck, 68140 Soultzeren, France. I am the controller for the processing used to manage your enquiries and operate this website.

Information collected through the form

The form asks for your name, email address, enquiry subject and message. You may attach an image for a product question or personalisation enquiry; it is optional. No image is requested for “Other message”.

Fields marked with an asterisk are needed to use the form and reply to you. Without this information, the message cannot be sent. You may also use the contact details in the legal notice.

Please send only information and images relevant to your enquiry, without identity documents or unnecessary sensitive data.

What is this data used for?

• Answering a question: your information helps me understand your enquiry and communicate with you. This processing is based on my legitimate interest in responding to people who contact me.
• Preparing or carrying out personalisation you have requested: relevant information and images are processed to take steps at your request before entering into a contract and, if an order is agreed, to fulfil it.
• Keeping the form secure: a session, a verification question and technical counters help limit abusive submissions. This processing is based on my legitimate interest in maintaining the security and availability of the service.

The form does not subscribe you to a newsletter. The website has no customer account, basket or online payment facility.

Who receives the information?

I read enquiries to answer them and, where appropriate, prepare your project. The technical operation involves OVHcloud, the website hosting and outgoing email service, and Yahoo, the email service used to receive and manage correspondence.

The form does not create a message database or a gallery of your photos on the website. Messages and attachments pass through email services; providers may use temporary files, queues and technical logs.

Yahoo states that some processing may involve transfers outside the European Economic Area. The countries involved, the safeguards relied on and how to obtain information about those safeguards are described in its privacy policy, in the section on international transfers. This does not mean that your messages remain exclusively in France.

How long is it kept?

• Messages and contact details: deleted no later than 6 months after the end of the correspondence or project.
• Photos sent for personalisation: deleted no later than 1 month after delivery or cancellation of the project, unless a new agreement specifies a further purpose and retention period.

These periods apply to correspondence and working copies I keep in my email account and on my equipment. They do not require the early deletion of documents needed to meet a legal obligation or defend a legal right. In that case, only the necessary information is kept separately, for the legally required period or until the situation justifying retention has been resolved.

Information about orders and payments on marketplaces is also subject to those platforms’ rules and the obligations that apply to commercial documents; it is not treated as ordinary contact correspondence.

Cookies and technical data

The Contact page uses a session cookie called utaupia_contact, which is needed to verify and secure the form. It is not used for advertising or to track your browsing across websites. It is a session cookie, with no persistent expiry period set by the website; its retention also depends on your browser settings.

You can block cookies in your browser, but the form may then stop working. This cookie is limited to the requested service and does not involve an advertising choice to accept or refuse.

The form uses an identifier derived from the IP address for its anti-spam counters, without storing the plain IP address in those counters. They cover a one-hour window; older entries are removed when new submissions are made, with no guarantee of deletion exactly after one hour if there is no further activity.

The hosting provider may also record technical logs, including IP addresses, dates, requested URLs and errors, to operate and secure the service. Their retention depends on the logging arrangements of the OVHcloud service and the associated needs or obligations; the message and photo retention periods above do not automatically apply to these logs.

No Google Analytics, advertising tool or third-party script-based audience measurement module is installed in this version of the website. Any hosting statistics are based on technical server data. If this changes, this information will be updated and any required choices will be offered before non-essential trackers are activated.

What are your rights?

Depending on the circumstances and applicable legal basis, you may request access to your data, its correction or erasure, restriction of processing, object to processing based on legitimate interests, or request data portability where its conditions are met. If processing is based on your consent, you may withdraw it for the future.

Write to utaupia-contact@yahoo.com. Your request will be considered; these rights are not absolute, and some data may need to be retained to meet a legal obligation or defend a legal right. Identity verification will only be requested where there is reasonable doubt.

If you believe your rights are not being respected, you may lodge a complaint with the CNIL.

The Amazon and Etsy shops are separate websites. When you open them or place an order, their own privacy information applies to their processing. Simply displaying their logos on this showcase website does not load tracking modules from those platforms: the images are hosted with this website.
